What we collect

• Contact details you give us: name, email, phone or WhatsApp number.
• Information about your family's move that you choose to share: children's ages, school year, expected arrival date and preferences.
• Booking details when you schedule a call.
• Purchase details: what you bought, the amount and the date. We never see or store your full card details; payments are processed by our payment provider.
• Your email address if you sign up for the free School Year Equivalency Chart.
• Basic technical data such as cookies, as described below.

How we use it

• To reply to your messages and run the calls you book.
• To deliver the services and products you purchase, including school and healthcare coordination you ask us to carry out.
• To send you the Playbook or the free chart you requested.
• To keep accounting and tax records we are legally required to keep.
• To send occasional updates, only if you have agreed to receive them.

Legal basis

We process your data to perform a contract with you or take steps before one (bookings and purchases), to meet legal obligations (invoicing and tax records), and with your consent (contact form, newsletter and non-essential cookies). You can withdraw consent at any time.

Who we share it with

We only share what is needed to help you. This can include schools, clinics and activity providers you ask us to contact on your behalf, and the service providers we use to run the business: [BOOKING PLATFORM], Stripe, [EMAIL PLATFORM] and [WEBSITE HOST]. Some of these providers may process data outside the European Economic Area, with appropriate safeguards in place. We never sell your data.

Information about children

We only collect information about your children that you choose to share and that we need to help your family, such as ages and school year. We ask that parents or legal guardians provide it.

How long we keep it

Enquiries are kept for 6 months after our last contact. Client and purchase records are kept for as long as Spanish tax law requires. Newsletter data is kept until you unsubscribe.

Your rights

You can ask to access, correct or delete your data, to restrict or object to its use, and to receive a copy of it. Email ahlan@ahlanmadrid.com and we'll respond within one month. If you're not satisfied, you can complain to the Spanish Data Protection Agency (AEPD) at aepd.es.
